Our clients are seeking a professional administrator with experience as a PA, Secretary or Commercial Administrator to be part of their busy commercial team based in Bedford.

Reporting to the Divisional Managing Director, you will be an experienced PA/Secretary/professional administrator with excellent skills in MS Office suite of Word, Excel, PowerPoint and Outlook, who is customer focused and enjoys working as part of a commercial business team.

This is a full-time role, with core business hours of 9.00am to 5pm, Monday to Thursday and 9.00am to 4.30pm on Fridays. Some flexibility to working hours can be discussed at interview.

Key Tasks:

  • To provide an efficient and responsive administrative, organisational, and logistical service to the DMD and Divisional Management Team helping them to manage and prioritise their time and project management.
  • To proactively provide a high level of service at all times.
  • With effective planning and organisational skills this role will ensure the workload is managed and solutions are identified quickly and in an appropriate manner.

Other Tasks and Responsibilities:

  • Pro-actively manage diaries
  • Pro-actively organise effective meetings and appointments
  • Travel arrangements including hotels and transport for the Management Team
  • Taking minutes and action lists and following up for completion
  • Managing project files and creating actions lists in Planner and Teams
  • Keep a brought-forward file of less-urgent reading/post/magazines/agendas/flagged and unanswered e-mails
  • Preparing meeting papers and travel packs, on time.
  • Communication with customers or business relations on behalf of DMD to the highest standards of communication, with understanding of confidential and private information
  • Actively manage the Signature file
  • Monthly expenses
  • Act as first point of call for Senior Management Team – collate/chase monthly reports, assist with travel/adhoc tasks where necessary
  • Raise Purchase Orders on internal system for company spend
  • Take dictations and draft written communication for approval
  • Co-ordinate/Event Manage division-wide projects like Christmas lunch, customer entertainment, Fundraising/CSR initiatives, events, parties etc.
  • Ensure filing of all essential paperwork/reports is up to date and easy to retrieve
  • Liaise with worldwide staff to schedule tours, talks, meetings, lunches etc.
  • General office support and duties
  • Catering for internal meetings and meetings with visitors
  • Any other reasonable request from a Manager.
