The overall objective of the role is to manage the facility contracts for the business and provide administrative support to the management team.

The role is responsible for multiple and varied administrative functions which include invoice review, stock level monitoring and tracking, along with building and maintaining relationships with suppliers.  The position requires strong interpersonal and computer skills along with the ability to identify problems, complete cause analysis and provide solutions.  Attention to detail is key.


  • To monitor and place orders for consumable products including but not exclusively, cleaning, canteen, stationery, and warehouse.
  • Complete annual government waste packaging audit.
  • Obtain quotes and tenders from vendors and suppliers.
  • Responsible for cascading information through the business ensuring notice boards are kept updated and emails circulated in a professional and timely manner.
  • Arrange hotel and travel details for staff as requested.
  • Organise First Aid/refresher training and maintain register.
  • Maintain client contact files, with client updates, addendums as requested by the senior management team or direct requests from clients.

Facility tasks

  • Manage and review service contracts with suppliers, ensuring contracts are adhered to.  Be the key point of contact when service providers are on site & ensure invoices are correct and paid in a timely manner and internal documentation updated.
  • Manage site visits with the landlord and be the first point of contact for queries.
  • Manage cleaning contact.  Maintain working relationship to ensure a good level of service provided.  Hold monthly supervisory visits to discuss issues and enhancements.
  • Responsible for building and grounds maintenance
  • Manage alarm and fire contract maintenance
  • To liaise effectively with all departments to achieve swift problem solving and maintain good communication internally and externally.
  • Supply PPE and maintain allocation register.
  • Manage contracts for general waste collection and recycling.
  • Ensure high standards of quality and productivity are maintained in accordance with our internal quality programme and ISO 14001:2004).
  • Ensure Quality, Health and Safety and Environmental standards and all related company policies are adhered to, raising any issues to the relevant parties as appropriate.
